Privacy Policy
1. Preamble
This document is intended to inform you about QUANTEAM’s policy regarding the protection of personal data and your rights related to the protection of personal data.

2. Definitions and Scope
2.1 Definitions
- “Entity ”: means the QUANTEAM entity;
- “ Assignment ”: means a service agreement entered into between a client and QUANTEAM to provide assistance to the client in accordance with the agreed terms;
- “Candidate ”: refers to a person who wishes to join QUANTEAM;
- “ Employee ”: refers to a person who has joined QUANTEAM and is currently employed by the company;
- “ Former employee ”: refers to a person who was employed by QUANTEAM (or one of the Group entities to which QUANTEAM belongs) but is no longer part of the workforce following the termination of the employment contract at the initiative of the employee or the entity;
- “ User ”: refers to a person who is not affiliated with any of the entities (neither a candidate nor an employee), who uses the website and provides their contact information so that they can be contacted;
- “ Client ”: means a person who has a direct business relationship with QUANTEAM (or any entity within the Group to which QUANTEAM belongs);
- “ Prospect ”: refers to a person who is in business contact with QUANTEAM (or one of the entities within the Group to which QUANTEAM belongs);
- “ Partners ”: refers to a person who has established commercial, editorial, or technological partnerships with QUANTEAM (or any of the entities within the Group to which QUANTEAM belongs);
- “ Subcontractor ”: means any company that may process Personal Data on behalf of QUANTEAM in accordance with the instructions provided by QUANTEAM.
2.2 Scope
The Data Protection Policy applies to:
- To the employees of QUANTEAM;
- To current and former employees of QUANTEAM (or any of the Group entities to which QUANTEAM belongs);
- To candidates applying for a position at QUANTEAM (or one of the Group entities to which QUANTEAM belongs);
- To individuals working as subcontractors for QUANTEAM (or any of the Group entities to which QUANTEAM belongs);
- To customers of QUANTEAM (or any of the Group entities to which QUANTEAM belongs);
- To prospective clients of QUANTEAM (or any of the Group entities to which QUANTEAM belongs);
- To the partners of QUANTEAM (or any of the Group entities to which QUANTEAM belongs);
- To users of the QUANTEAM entity’s websites.
By giving your explicit consent to this Privacy Policy, you agree that your personal data may be made available to QUANTEAM and the entities within the Group to which QUANTEAM belongs, in accordance with the terms set forth in this policy.

4. How do we collect your personal data?
- Unsolicited submissions:
Initiated by a website user who submits their resume in order to be contacted, or by those responsible for recruiting candidates to meet a business need. The search is conducted using public social media platforms. At this stage, the individuals identified cannot be considered candidates, and the public information collected is not stored in the company’s information system. - Data Collection During a Preliminary Interview:
During a job interview, personal data may be collected and stored in the information system to facilitate the recruitment process. The collection of such data will be approved by the candidate in advance. The candidate will have been informed of their rights and remedies regarding data protection, as well as the means to exercise them. - Data Collection Upon Hiring:
When signing the contract to join QUANTEAM (or one of the entities of the Group to which QUANTEAM belongs), personal information necessary for the administrative or business management of the employee will be collected and recorded in the information system. The employee will have been informed of their rights and remedies regarding data protection, as well as the means to exercise them. - Employee-Initiated Data Collection:
An active employee of QUANTEAM (or one of the Group entities to which QUANTEAM belongs) may update or modify their personal data. The data that can be modified includes the individual’s identity, residence, educational qualifications, languages spoken, skills, and resume.
Secure access (login/password) is required to access this editable personal data. The employee is informed of their rights and remedies regarding data protection, as well as the means to exercise them
For employees active as of May 25, 2018, whose personal data is stored in the information system, a dedicated notice is provided to outline their rights and remedies regarding data protection, as well as the means to exercise them. - Data collection initiated by the customer or prospect:
Through one of the website’s contact forms, for the purpose of contacting QUANTEAM (or one of the entities within the Group to which QUANTEAM belongs) or accessing premium content that requires user identification. - Data collection initiated by the partner:
Through one of the contact forms on the website for the purpose of contacting QUANTEAM (or one of the entities within the Group to which QUANTEAM belongs).
5. What information do we collect?
- Personal Data collected directly from you:
Among the Personal Data collected directly from you during an interview, we may collect the following information:
Last name, first name, maiden name, gender, mailing address, nationality, legal information regarding your presence in France (residence permit number, date of issuance), educational background and degree, email address, IBAN, number of children, marital status, date and place of birth, Social Security number, phone number. - Personal Data collected indirectly:
In addition, we may collect Personal Data indirectly from websites where you have made your information available (LinkedIn, Viadeo, etc.). In such cases, the data collected will be limited to the information you have made available.
6. For what purpose(s) do we collect your data?
The Personal Data we collect directly from you—including during the hiring process or annual reviews—may be processed for the following purposes:
- Service #1: Hiring New Employees:
Searching for candidates on social media, conducting interviews to assess technical and functional skills, and evaluating interpersonal skills and motivation. - Process #2: Search for assignments:
Search for client assignments. - Process No. 3: Employee Departure:
Employee resignation, contract termination procedure. - Process No. 4: Payroll Processing:
Calculation of compensation and distribution of pay stubs. - Item 5: Employee Career Development:
Monthly committee meeting to review career development requests. - Process No. 6: Managing Employee Training Needs:
Monthly committee meeting to review employees’ training requests and needs. - Process No. 7: Disciplinary Meeting:
A meeting held following an employee’s misconduct. - Process No. 8: Entity Management:
Generation of operational monitoring metrics for the creation of entity management dashboards. - Process No. 9: Compliance with legal obligations:
Submission of the required information to the relevant authorities.
For Clients and Prospects:
B2B sales prospecting via phone or email campaigns, satisfaction surveys, management of internal and external events, and sharing of prospect contact information among the group’s various entities and with partners.
For Partners:
Partner management, sharing partner contact information with our clients and prospects, and managing internal and external events.
7. How long is your Personal Data retained?
7.1 Depending on your profile and the type of your Personal Data
The retention periods are listed below:
Current and former employees:
- Personal data: 1 year from the end of the contract
- Pay stubs: 5 years from the end of the contract
- Elements of periodic performance reviews (project form, EA): until the employee’s resignation
- Disciplinary records, training: up to and including the employee’s resignation
- Time and attendance data (for applicable employees): 3 months
- Telephone data (for affected employees): 3 months
- Video surveillance data (for affected employees): 3 months
- Documents related to employment contracts (including amendments): 5 years from the end of the contract
- Notice of termination letter: 5 years from the end of the contract
- Receipt for final settlement: 5 years from the end of the contract
Candidate:
- C.V.: two years after the last contact with explicit consent
- Cover letter: two years after the last contact with explicit consent
- Interview summary, reviews, tests: two years after the last contact with explicit consent
- Personal data: two years after the last contact with explicit consent
Customers / prospects:
- 3 years from the date of collection or the last interaction with our customer or prospect
Partners:
- 3 years from the date of collection or the last contact with the partner
8. Who has access to your Personal Data?
The following may have access to your Personal Data:
- Only certain authorized employees based at the Group’s headquarters and assigned to HR, Marketing/Communications, Administration, or Sales functions have access to your Personal Data, and only when necessary; they are subject to a strict duty of confidentiality.
- Subcontractors or service providers whom we engage for technical services, analytical solutions, etc.;
- Our partners, in connection with joint marketing, communications, and sales initiatives
9. Transfer of Your Personal Data
Please be advised that your personal data, limited to your “professional experience,” may be transferred to one of the entities within the Group to which QUANTEAM belongs for the purpose of finding you an assignment.
This transfer will be made only with the consent of the data subject.
The entity receiving the personal data is subject to the same Data Protection Policy.
10. Your rights
You have the right to access, correct, delete, restrict, or object to the processing of your data, as well as the right to provide instructions regarding the handling of your data in the event of your death, and the right to data portability.

10.2 Supporting Documents
Pursuant to the provisions of Decree No. 2007-451 of March 25, 2007, amending Decree No. 2005-1309 of October 20, 2005, issued to implement Law No. 78-17 of January 6, 1978, on information technology, files, and civil liberties, your request to exercise one of your rights must be accompanied by a photocopy of an identity document bearing the holder’s signature. Your request must also specify the address to which the response should be sent.
We will then have one (1) month from the date we receive your request to respond. This period may be extended by two (2) months depending on the complexity and number of requests.
These rights are not absolute: you may exercise them within the legal framework provided and within the limits of these rights. In certain cases, we may not be able to grant your request (due to legal obligations, the need to fulfill our commitments to you, etc.). If this is the case, we will inform you of the reason(s) for the refusal.
10.3 Right of access, rectification, or erasure
As a user, you can access the Personal Data we have collected directly from you in order to correct, update, or delete any inaccurate information by:
- Log in directly to the intranet using your User Account, under the "Employee" section: correct any inaccurate or incomplete information, then save your changes;
- By contacting us directly at the email address(es) and/or mailing address(es) listed above.
You have the right to have your Personal Data erased when:
- These are no longer necessary for the purposes for which they were collected or processed;
or
- You have objected to this processing, and there are no compelling legitimate grounds for it;
or
- Personal Data must be erased to comply with a legal obligation under Union or Member State law.
As a candidate or user (see the “Definitions” section), you may withdraw your consent to the use of your personal data held by any entity within the Quanteam Group without restriction.
10.4 Right to restriction of processing
You have the right to restrict processing when any of the following conditions apply:
- You dispute the accuracy of the Personal Data;
or
- The processing is unlawful, and you object to the erasure of your Personal Data and instead request that its use be restricted;
or
- QUANTEAM (or one of the entities of the Group to which QUANTEAM belongs) no longer needs the Personal Data for processing purposes, but you require it to establish, exercise, or defend your rights;
or
- You have objected to the processing, and a review must be conducted to determine whether the legitimate interests of QUANTEAM (or any entity within the Group to which QUANTEAM belongs) override your own.
10.5 Right to Data Portability
You have the right to data portability, which means you have the right to receive the Personal Data you have provided to us in a structured, commonly used, and machine-readable format and to transmit that data to another data controller.
To exercise your right to data portability, please contact us using one of the methods listed in Section 10.1 Contact of this policy.
10.6 Right to file a complaint with the competent supervisory authority
If you encounter any difficulties, you have the right to file a complaint with the CNIL: https://www.cnil.fr/fr/plaintes.
10.7 Guidelines Regarding the Handling of Your Personal Data After Your Death
You have the right to provide instructions regarding the handling of your Personal Data after your death.
To exercise this right, please send us an email at dpo@quanteam.fr:
- Entitled “Guidelines Regarding the Handling of My Personal Data After My Death”;
- Please let us know who you would like to designate to act on your behalf in the event of your death, as well as any instructions you would like us to follow.
In the event that an employee passes away without leaving instructions regarding the handling of their Personal Data after their death, their heirs may request the deletion of the deceased’s data once all necessary procedures have been completed by contacting us via email at dpo@quanteam.fr.
11. How is your personal data secured?
QUANTEAM and the entities of the Group to which QUANTEAM belongs ensure that your data is processed securely and confidentially, including when certain operations are carried out by subcontractors or partners. To this end, appropriate technical and organizational measures are in place to prevent the loss, misuse, alteration, and deletion of your personal data. These measures are tailored to the sensitivity of the data being processed and the level of risk associated with the processing or its implementation.
12. How is your personal data secured?
This Privacy Policy will be reviewed annually and may be amended in the event of significant changes to the regulatory framework or new provisions implemented within QUANTEAM and the entities of the Group to which QUANTEAM belongs.
